How we tested
We used each tool over 5 weeks with real accounts. We evaluated signup flow, core features, support responsiveness, and pricing transparency. We never accept payment for positive reviews.
Read our full methodology →Most teams waste weeks comparing project management tools, sign up for five trials, and end up back where they started. Here’s a faster way.
What we tested
We ran a real project through ClickUp, Monday.com, and Notion over five weeks with a team of four. We evaluated setup time, daily usability, and how each tool handled a mid-project change in scope.
Start with your team size
Your team size determines what you actually need:
- 1-2 people: You probably don’t need a dedicated PM tool. Notion or even a shared doc will do.
- 3-10 people: You need something simple and visual. Trello, Notion, or Monday.com’s basic tier.
- 10-30 people: You need structure without complexity. ClickUp, Monday.com, or Asana.
- 30+ people: You need proper hierarchy, permissions, and reporting. ClickUp or Monday.com at higher tiers.
Then ask three questions
1. What’s your actual workflow?
Don’t pick a tool based on its features page. Pick it based on how your team actually works.
- If you work in sprints → look for sprint planning and burndown charts
- If you work in projects with deadlines → look for Gantt charts and dependencies
- If you work in ongoing tasks → look for kanban boards and simple lists
2. What will break in 6 months?
A tool that works for 5 people may not work for 15. Ask yourself:
- Will we need permissions and roles?
- Will we need reporting for leadership?
- Will we need integrations with other tools?
If the answer to any of these is yes, pick a tool that can grow with you.
3. What’s your real budget?
Per-user pricing adds up fast. A team of 10 people on a $10/user/month plan is $1,200/year. Before you commit, ask:
- Does the free tier actually work for us?
- What’s the renewal price after the intro discount?
- What features are locked behind higher tiers?
The 30-minute test
Instead of signing up for five trials, do this:
- Pick two tools that match your answers above.
- Sign up for both free tiers.
- Run one real project through each for two weeks.
- Ask your team which one they opened more.
The tool your team actually uses is the right one. Everything else is noise.
Frequently Asked Questions
How long should it take to choose a PM tool? Two weeks of testing, maximum. If you spend longer than that, you’re procrastinating. Pick two tools, run one project through each, and decide.
Is a free PM tool enough for a small team? Usually yes. ClickUp, Notion, and Trello all have free tiers that work for small teams. Upgrade only when you hit a specific limitation.
What if my team refuses to use it? That usually means the tool is wrong, not the team. Try a simpler option. The best tool is the one people actually open.
Should I switch tools if mine isn’t working? Only if the problem is the tool itself. If the problem is adoption, switching won’t help — it’ll just restart the adoption problem.
Our recommendations
For most small teams, one of these three will be the right fit:
- ClickUp — Best all-in-one value
- Monday.com — Best polished experience
- Notion — Best for small teams that want to build their own system
Start with the free tier of whichever one sounds most like your team. Then run the 30-minute test.
